SADLRC 'Vehicle Passport System'

Organised by the SADLRC committee

Between now and the 1st September 2007

It has been agreed that the club needs to provide a period of time for those members without the correct insurance to move policy’s without being penalised by having to cancel their existing policy.

To this end there will be an implementation period from now until the 5th September 2007 where members with existing insurance policies will not be provided with a Vehicle Passport but can still play (at the event organisers discretion) if they sign a disclaimer (i.e. how as we currently operate).  Members will still need to bring along their current valid MOT or a copy of it.

The expectation is that during this period, as members insurance’s come up for renewal they are replaced with the correct insurance and then Vehicle Passports can be provided.

I would advise all members to look into changing their insurance to a specialist policy now, regardless of how much time is left to run on their existing policy.  Some members have made such large savings that even after the cancellation charges from the old policy they are better off.

With regards to road tax this is obviously required on Green Lane events.  It is only required at a play day if you driving to the site.  If your vehicle is brought to site by trailer or lorry then the club does not require you to have road tax on the vehicle. 

As of the 1st September 2007  

The club will be enforcing the current requirement that all vehicles participating in club events have a valid MOT, and Insurance suitable for the event.  (If the vehicle is trailered to play-days you do not require Road Tax.)

Remember though if you don't have a passport you can still bring all your documents to an event and you will be allowed to play but you must have a minimum of MOT and insurance that covers play days.

There are a number of reasons why the club has these rules but a brief summary is as follows:   

Ø       A valid MOT is required as an independent evaluation by a trained examiner that the vehicle is safe.  We all know this test is only as good as the tester and vehicle on the day of the test but if it is good enough for the Ministry of Transport then it is good enough for us as a club.  The only alternative way the club could ensure this would be to arrange scrutineering at events which would be too costly in terms of both time and money.

Ø       The only exception to this would be for purpose built racers with a valid MSA Log Book that have been used in an MSA event and gone through their scrutineering in the last year.  These vehicles may be allowed on site subject to prior approval from the Event Organiser or the Chief Marshal.

Ø       Valid Insurance which covers the member for the event in question is required to protect other members and yourself in the case of an accident between vehicles (or worse vehicle and another member, spectator or family member) on site.

Ø       The club carries Third Party Liability insurance  which protects the club in the event of injury to a non-member or their property deemed to be due to the clubs negligence.  It does not cover accidents between members (or their families) on site.

Ø       There are a number of specialist insurance companies such as RoadSure and Snowball 4X4 who offer insurance which cover you for green lane and play day events and this is commonly similarly priced or even cheaper than other company’s.   

Ø       Check your insurance now and if you are not covered then change your policy.

Ø       Failure to correctly insure your vehicle for the events would mean that in the case of an accident you would personally be liable for the cost of repairs, medical expenses and any resultant loss of income.  This potentially could be many thousands of pounds and if you are not able to pay you may end up losing assets such as your vehicle, house etc.  This not a situation the club can allow to continue. 

To make life easier for the members and save you having to bring along your documents to every event the club is implementing a Vehicle Passport System.   

This will simply provide you with a ‘Passport’ which will be a laminated card with:

Ø       Your Name,

Ø       Membership number

Ø       Picture of your vehicle. 

Ø       Confirmation box that your Insurance has been checked by a committee member and covers you for Playdays and Green lanes.

Ø       Insurance renewal date. 

Ø       Confirmation box that your MOT has been checked by a committee member.

Ø       MOT renewal date 

This Passport can then be kept in your vehicle and produced at events with your membership card to allow you onto the event. 

If you have two or more vehicles you will need a passport for each vehicle. 

These passports will be renewed annually with your membership.  While your MOT and Insurance dates may be different to the date of your passport it will be your responsibility to ensure your MOT and the correct type of insurance is maintained on your vehicle.  You may be asked to produce these at the next event / club meeting.   

Having a vehicle passport is only to make life easier; it does not exempt you from having to have valid MOT or Insurance.  The passport is issued on the understanding that you will continue to keep the MOT and correct insurance for the events valid on your vehicle.  Failure to do so will result in your passport being revoked and you will need to bring you documents to the events. 

You do not have to have a vehicle passport, but access to events will be restricted to those members that can either produce a vehicle passport or their Insurance and MOT at the time of signing in.  Members joining on the day of an event will also need to produce this documentation.
